SAUNAT.FI – BOOKING AND TERMS & CONDITIONS FOR PRIVATE BOOKINGS

1. General

These terms and conditions apply to bookings of venues and private sessions managed and/or owned by Saunat.fi / T4T Ventures Oy (“Service Provider”), unless otherwise stated in connection with the booking or quotation.

The individual or entity making the booking (“Booker”) agrees, by confirming the booking, to comply with these booking terms and conditions, the instructions provided in the booking confirmation, and the venue’s rules of conduct and safety regulations. The Booker is also responsible for ensuring that all other persons attending the event comply with these rules and conditions.

The Booker must be at least 18 years old.

2. Booking and Rental Period

The start and end times of the booking are stated in the booking confirmation.

All preparations, deliveries, catering deliveries, decorations, dismantling and collection of goods related to the event must take place within the booked rental period, unless otherwise agreed in writing with the Service Provider.

The venue must be ready to be handed back, and the Booker and all guests must have left the premises by the end of the booked rental period.

Any overrun of the agreed rental period may be charged in accordance with the applicable additional-hour price list.

Additional hours and any access to the premises outside the booked rental period must always be agreed in advance with customer service by calling or messaging +358 44 989 3454. Additional hours shall be paid for separately as agreed.

The Service Provider has the right to require a security deposit in connection with the booking. The security deposit will be refunded after the booking, provided that these terms and conditions have been complied with and no damage or additional costs have been caused to the premises, furnishings or other property.

3. Security Personnel

If the Booker is under 25 years of age, a licensed security steward arranged through the Service Provider must be present at the event from at least 9:00 PM onwards, or, where necessary, for the entire rental period.

The fee for security personnel is €55 per hour. The fee is doubled on public holidays.

Events with more than 50 guests require two security stewards, unless otherwise agreed in writing with the Service Provider.

The Service Provider also has the right to require security personnel based on the nature of the event, the number of attendees, or another justified safety-related reason.

4. Prices and Payment Terms

The booking price is determined according to the price published on the Saunat.fi website or the quotation provided to the Booker.

Prices quoted to consumers include value-added tax unless expressly stated otherwise.

The booking shall be paid at the time of booking through the online store, via payment link or by invoice, as agreed.

The invoicing fee is €15 and the payment term is 7 days, unless otherwise stated in the quotation or invoice. The booking must be paid in full before the start of the rental period.

Failure to make payment does not in itself constitute cancellation. The booking must be cancelled in accordance with Section 5.

5. Cancellation and Rescheduling by the Booker

Cancellations must be made in writing to [email protected].

The following cancellation fees apply:

  • more than 30 days before the start of the booking: 25% of the total booking price
  • less than 30 days before the start of the booking: 100% of the total booking price.

If a booking is made less than 30 days before the start of the booking, the full booking price will be charged in the event of cancellation.

Rescheduling a booking to another date requires the approval of the Service Provider. An approved rescheduling is subject to a €150 administration fee as well as any difference between the original booking price and the price applicable to the new date.

6. Keys, Access Codes and Access to the Premises

Access to the premises is permitted no earlier than the start of the booked rental period unless otherwise agreed in writing.

Separate instructions will be provided for the collection and return of keys and for any access codes. The person receiving the keys must be at least 18 years old.

The Booker is responsible for ensuring that all doors are locked and that the keys are returned in accordance with the instructions at the end of the booking.

A minimum fee of €150 will be charged for a lost key, in addition to any actual additional costs resulting from the loss, including possible changes to locks or key systems. A fee of €150 will be charged for opening a locked door.

A personal access code provided to the Booker may not be shared with third parties or used for any purpose other than authorised access related to the booking. Unauthorised disclosure or use of the code in breach of these terms may result in a charge of €400, in addition to any further damage or costs incurred.

7. Catering, Deliveries and Other Service Providers

Deliveries, collections and visits by catering companies and other external service providers must take place within the booked rental period.

If access to the premises is required outside the booked rental period, this must be agreed in advance with the Service Provider. Additional visits or extensions to the rental period may be charged separately.

Upon request, the Booker must provide the name and contact details of the catering company or other external service provider.

The Booker is responsible for the conduct of any external service providers used by them at the venue and for ensuring that such service providers comply with the venue rules.

8. Cleaning, Damage and Liability

The Booker is responsible for any damage caused by the Booker, the Booker’s guests or any external service providers engaged by the Booker to the premises, furnishings or other property.

At the end of the booking, the premises must be left in accordance with the departure instructions provided. At a minimum, waste must be sorted into the appropriate bins, bottles and cans placed in accordance with the instructions, and used dishes left in the designated area.

Additional cleaning beyond standard final cleaning will be charged at €55 per hour. The fee is doubled on public holidays.

Cleaning caused by bodily fluids or other soiling requiring special cleaning will be charged at a minimum of €100 per incident, in addition to any other costs incurred.

If the premises are damaged for a reason attributable to the Booker to such an extent that they cannot be used for subsequent bookings, the Booker shall be liable for the direct costs caused by the damage and for any loss of rental income in accordance with applicable law.

9. Separately Chargeable Breaches and Costs

The Service Provider has the right to charge, among other things, for the following:

  • exceeding the permitted maximum number of persons: €400
  • lost or damaged towels and other textiles: from €25 per item
  • unauthorised disclosure or misuse of an access code: €400
  • costs resulting from misuse of smoke machines, fire alarms, emergency exits or safety systems
  • work required to investigate breaches of these terms: €55 per hour
  • any other actual damage and additional costs caused by the Booker’s actions.

10. Rules of Conduct and Safety

The maximum permitted occupancy of the premises must not be exceeded.

Video surveillance may be used on the property and surrounding areas for safety, property protection and investigation of misuse in accordance with applicable data protection legislation.

Smoking is only permitted in designated areas.

Quiet hours begin at 9:00 PM, after which noise that may disturb neighbouring properties must be avoided, particularly outdoors.

The use of personal sound systems is prohibited without the permission of the Service Provider.

The sauna heater and any other electrical appliances specifically instructed by the Service Provider must be switched off when leaving the premises.

The Booker and all event participants must comply with the safety and conduct instructions given by staff.

Serious or repeated breaches of the rules may result in the event being terminated without refund.

11. Lost Property

The Service Provider is not responsible for items left behind or lost on the premises.

Lost property is generally stored for two weeks. Collection must be arranged separately.

12. Complaints

Any defect or issue relating to the premises or service must be reported to the Service Provider immediately after it is discovered by calling +358 44 989 3454, so that the Service Provider has an opportunity to remedy the situation during the booking.

If the matter cannot be resolved during the booking, a written complaint must be submitted no later than the next business day to [email protected].

13. Service Provider’s Right to Amend or Cancel a Booking

The Service Provider has the right to cancel or, where necessary, amend a booking due to force majeure, safety reasons, technical faults, the premises becoming unusable, double booking, or another unforeseen reason beyond the reasonable control of the Service Provider.

In such a situation, the Service Provider will primarily seek to offer an alternative date or, where possible, another comparable solution.

If no replacement solution can be offered, or the Booker does not accept it, the amount paid for the cancelled service will be refunded to the Booker.

The Service Provider is not liable for indirect losses, such as costs related to services, travel or other arrangements separately purchased by the Booker, unless otherwise required by mandatory legislation.

14. Applicable Law and Dispute Resolution

These terms and conditions are governed by Finnish law.

Any disputes shall primarily be resolved through negotiations between the parties.

Consumers may also refer a dispute to the Finnish Consumer Disputes Board. A consumer’s right to bring a matter before a competent court is determined in accordance with mandatory legislation.

For business customers, disputes shall ultimately be resolved by the Helsinki District Court.

SAUNAT.FI – BOOKING AND TERMS & CONDITIONS FOR TICKET SALES

1. General

These terms and conditions apply to tickets, events and other services purchased through the ticket store operated by Saunat.fi / T4T Ventures Oy (“Saunat.fi”).

The person purchasing a ticket or service (“Customer”) accepts these terms and conditions at the time of purchase.

Saunat.fi may act either as the organiser of the event or service itself or as a ticketing intermediary for an event or service organised by a third party. Where the actual organiser or service provider is another party, this will be indicated, where possible, in connection with the relevant service or event.

The rules of conduct, safety regulations and terms of use of the venue or actual service provider may also apply to the event or service.

2. Purchasing and Payment of Tickets

Tickets and services are purchased through the Saunat.fi online store or by another method specified by Saunat.fi.

Payment must be made at the time of purchase unless otherwise agreed.

Prices quoted to consumers include value-added tax unless expressly stated otherwise.

After the purchase, the Customer will receive an order or booking confirmation at the email address provided.

The Customer is responsible for ensuring that the contact details provided at the time of purchase are correct.

A ticket entitles the holder to participate in the event or service specified on the ticket at the stated date and time. A ticket may not be used for another event, service or date without the approval of Saunat.fi or the actual service provider.

3. Cancellation and Changes by the Customer

Tickets purchased through Saunat.fi cannot be refunded, exchanged, or cancelled after purchase, unless more flexible terms are specifically stated in connection with the relevant event or service.

If the Customer wishes to transfer a ticket to another date or time, the transfer request must be submitted in writing to [email protected] at least 72 hours before the scheduled start time.

Unused tickets will not be refunded if the reason for non-use is attributable to the Customer.

As a general rule, leisure services booked for a specific date or time are not subject to the 14-day right of withdrawal under Finnish consumer protection legislation.

4. Changes to an Event or Service

Saunat.fi or the actual organiser of the event may, for justified reasons, make minor changes to the content, schedule, programme or other practical arrangements of the event or service.

If the date or time of an event or service is materially changed, the Customer will be notified using the contact details provided by the Customer.

As a general rule, the ticket will remain valid for the new date or time.

If the new date or time is not suitable for the Customer, the Customer may request a refund of the ticket price within 14 days of being notified of the change, unless another reasonable deadline has been stated in the event-specific terms.

5. Cancellation of an Event or Service

If an event or service is cancelled entirely by Saunat.fi and no replacement date or comparable service is offered, the price paid for the cancelled service will be refunded to the Customer.

Any separately charged service, delivery or payment-method fees will not be refunded to the extent that the relevant service has already been properly provided and non-refund is permitted by law.

Saunat.fi or the organiser of the event is not liable for indirect costs incurred by the Customer as a result of cancellation, such as travel, accommodation or other separately purchased services, unless otherwise required by mandatory legislation.

6. Force Majeure

Saunat.fi or the event organiser shall not be liable for any delay, change or damage caused by an unforeseeable event beyond its reasonable control.

Depending on the circumstances, such events may include official orders or restrictions, severe weather conditions, widespread electricity or telecommunications outages, industrial action, epidemics or other comparable exceptional circumstances.

Force majeure does not limit any rights the Customer may have under mandatory legislation.

7. Conduct and Safety

The Customer must comply with the venue’s rules of conduct and safety regulations as well as instructions given by staff.

Saunat.fi, the event organiser and venue staff have the right to refuse entry to or remove from the event any person who, for example:

  • behaves disruptively or threateningly
  • endangers their own safety or the safety of others
  • damages property
  • materially breaches the rules of the venue or staff instructions.

In such cases, the ticket price will generally not be refunded.

8. Liability for Damage and Personal Property

The Customer is responsible for any damage they cause to the event venue, its furnishings or other property.

Saunat.fi or the event organiser is not responsible for the loss of or damage to property brought to the venue by the Customer, unless the loss or damage results from a cause for which Saunat.fi or the event organiser is legally responsible.

9. Photography and Other Recording

Photography and video recording may take place at events for documentation, communications and marketing purposes.

Information about photography or recording may be provided in connection with the event or at the venue.

Saunat.fi and the event organiser will process photographs and video material in accordance with applicable data protection and other legislation.

Mere attendance at an event shall not be considered consent to the use of a person’s image for all marketing purposes where separate consent or another lawful basis for processing is required.

10. Complaints

Any defect or issue relating to an event or service should, where possible, be reported to staff immediately after it is discovered so that the situation can be addressed during the event.

If the matter cannot be resolved on site or by phone at +358 44 989 3454, a written complaint must be submitted no later than the next business day [email protected].

Where the event or service is provided by a third party, Saunat.fi may forward the complaint to the actual service provider or direct the Customer to contact the service provider directly.

11. Saunat.fi’s Role as an Intermediary

Where Saunat.fi sells a ticket to an event or service organised by a third party, the actual service provider is generally responsible for the performance and content of the event or service and for the service provided at the venue within the scope of its own responsibilities.

Saunat.fi is responsible for its own activities as the operator of the ticketing platform and for its obligations relating to payment processing and ticket delivery in accordance with applicable law.

Additional terms and conditions of the actual organiser or service provider may be stated in connection with the service and shall apply in addition to these terms.

12. Applicable Law and Dispute Resolution

These terms and conditions are governed by Finnish law.
